New Feature in POS Invoicing - Bookings and Prepaid Contracts setup by FLC and price level to allow multiple products automatically relieve the contract. Use this when receiving prepay money from customers for chemicals, seed, fertilizer for spring planting. This attaches specific pricing levels automatically to prepaid dollars, and the items that are charged against them. This allows you to prepay/book one item and take another similar item, if you so choose.

Accounts Receivable
Apply multiple items to others booking/prepay contracts . . . . Y

Y= Apply multiple items to another contract if they qualify within the parameters set up on the contract.
N= Do not apply other items to contracts, leave contracting options as is.
Operation:
Part 1:
When entering Contract via counter (5=Booking, 8=Prepayment) new fields are available to enter.
FLC Range for Auto Select:
Entering FLC in this range, means this contract allows any items within the FLC in this range, to be used off of this contract.
Loc Range for Auto Select:
Entering Location in this range, means this contract allows any items within the FLC in this range, to be used off of this contract. If they want to limit the locations that can use a prepayment then put in that location range.
Price Level for Auto Select:
Enter a valid price level here so when the items are sold, they will automatically use the prepay dollars up at the price of that item at this price level.
Part 2:
When Charging against Contract via counter (5=Booking, 8=Prepayment) multiple products can reduce one contract.
Examples:
Part 1: Prepaid Contract 8
Prepaid for 500 of item 123 (in FLC 400). at $100 each = $5000.
Entered FLC range = 350-400.
Entered Loc range = 1-1.
Entered Price level = 12 (December price)
Part 2: Charges
When charging 60 of Item 890 (in FLC 350), they get:
60 at $80 each (this item’s price level 12) = $4800
Balance on contract = 2 of item 123 at $100 each = $200
When charging 80 of item 890 (in FLC 350), they get:
62.5 ($5000/80) at $80 each (this item’s price level 12) = $5000 and 17.5 (80-62.5) at $$90 each (retail price) = $1575
Balance on contract = 0
Order of Processing:
Prepaid Contracts checked first:
1. If the item being sold has a prepaid contract specifically for this item number, that contract price and quantity available will be used first.
2. If the item being sold qualifies for a contract available based on it’s FLC or Loc, That Contract will be used. The price will come from the price level price for that item, if there is no price level set up for that item, it will use the basis from the price level (if there is one). Otherwise will use the unit price of the item but relieve the $ from the contract.
3. If the item being sold qualifies under multiple contracts available, the contract selection screen will appear and allow you to choose what contract to use.
Booking Contracts checked second:
4. If you decline to select a prepay contract available for an item (by pressing F12 from the contract selection screen), and there is a booking contract that this item being sold qualifies for, that Contract will be used.
5. If the item being sold qualifies under multiple contracts available, the contract selection screen will appear.
6. If the sales area question stated “Booked Use Lowest Price” is set to Y and the item being sold has a retail price less than the booking contract offered; then the retail price will be used, and the contract quantity will be reduced by the qty sold in this transaction.
Customer Price Level checked.
7. If the customer has a price level set in their customer account and that is lower than that price will be used.

We have created an additional contract data file to store this information. It is U4TRNDC file. It also writes to U4PRBK.

- Price Level
- Loc Range, and
- FLC Range
